How to prepare a CNC machining request for quote.

A machining RFQ should define the part, material, quantities, critical requirements, finishing, inspection, and delivery. Collecting this information in one revision-controlled package reduces questions between engineering, procurement, and quality before quotation.

What to include in a machined-parts RFQ.

Use the eight blocks below to consolidate requirements before sending the request. If information is still undefined, mark it as pending instead of leaving conflicting versions in the package.

    Part definition and revision

    Send the available 2D drawing, 3D model, sample, photo, or functional description. Identify the part number, current revision, units, and which file governs if information conflicts.

    Material and supply condition

    State the material, alloy or grade, applicable standard, temper, hardness, or supply condition. Indicate whether an equivalent alternative may be reviewed or the specification is mandatory.

    Quantity and demand profile

    Separate prototype or validation quantity, initial batch, and recurring demand. When possible, include monthly or annual usage so the process can be reviewed in the right production context.

    Critical features and tolerances

    Highlight functional dimensions, fits, threads, datums, geometric tolerances, surface finish, and features requiring specific control. Distinguish critical requirements from reference dimensions.

    Treatments, finishing, and identification

    Specify heat treatment, coating, plating, anodizing, surface protection, color, marking, and areas that must remain finish-free. Include the applicable standard or class when available.

    Inspection, traceability, and documents

    State the features to inspect, sampling plan, and required documents. Dimensional reports, traceability, PPAP, FMEA, SPC, MSA, or a control plan should be requested when applicable to the supply.

    Application and functional risk

    Explain the part function, assembly, operating environment, interfaces, and failure to avoid. This context helps identify manufacturability questions without replacing the customer's product validation.

    Lead time, destination, and delivery condition

    State the requested date, delivery location, partial-delivery needs, packaging, or special identification. Treat timing as a request until the technical and commercial review is complete.

Five steps to review the package.

A short review before submission helps prevent procurement, engineering, and quality from working with different assumptions.

    Collect the current revision

    Remove obsolete files and clearly identify the part number, revision, and units.

  2. 02

    Mark critical requirements

    Highlight what affects function, assembly, inspection, safety, or part acceptance.

  3. 03

    Separate requirements from preferences

    State what is mandatory and where engineering may review process or material alternatives.

    Confirm volume and delivery

    Include initial quantity, recurring demand, requested date, destination, and packaging condition.

    Send one coherent package

    Attach the files and identify in the RFQ text any open point that requires joint review.

Questions before requesting a quotation.

Can I request a review without a final drawing?

Yes. A conversation can begin with a model, sample, photo, reference part, functional requirement, or application description. Quotation and manufacturing depend on sufficient technical definition and may require an approved drawing or specification before proceeding.

Does a 3D model replace the 2D drawing?

Not always. A 3D model describes geometry, while a 2D drawing often records tolerances, datums, surface finish, threads, finishing, and inspection requirements. When both are provided, state which document governs if they conflict.

Why provide quantity before quotation?

Quantity and recurrence influence process definition, workholding, programming, inspection, and production strategy. Separate prototype, initial batch, and recurring forecast so quotations are not compared using different assumptions.

Which file formats can I attach?

Kondak's form accepts PDF, DWG, STEP, STP, IGES, IGS, and images. Identify the current revision and avoid sending conflicting versions without an explanatory note.

Does the checklist guarantee feasibility, price, or lead time?

No. The checklist organizes the information needed for review. Feasibility, process, documentation, pricing, and lead time depend on the technical and commercial evaluation of the submitted package.
